Fixing Email Synchronization Problems

Fix Gmail and Outlook sync problems: emails niet importing, sync stops, or older emails missing.

Common Sync Issues

❌ Problem 1: Emails are no longer synchronizing

Diagnosis:

  1. Check sync status: Settings → Email → Connection Status
  2. Look for: "Last synced: X minutes ago" (Should be < 15 min)
  3. Check for error message (red banner)

Solutions:

  1. Reconnect account:
    • Settings → Email → Disconnect
    • Wait 30 seconds
    • Click "Connect Gmail" or "Connect Outlook"
    • Re-authenticate (allow all permissions!)
  2. Check permissions:
    • Gmail: Verify Tesoro has "Read/Send" permissions
    • Outlook: Check OAuth permissions in Microsoft account
  3. Revoke + reconnect (nuclear option):
    • Gmail: myaccount.google.com → Security → Third-party apps → Remove Tesoro
    • Outlook: account.microsoft.com → Privacy → Apps → Remove Tesoro
    • In Tesoro: Reconnect email

❌ Problem 2: Old emails missing (only recent emails)

Cause: Initial sync limit (default: last 30 days)

Solution:

  1. Settings → Email → Sync Settings
  2. Change "Sync from" date:
    • Last 30 days (default)
    • Last 90 days
    • Last 1 year
    • All emails (warning: can take long!)
  3. Click Resync
  4. Wait for sync to complete (check progress bar)

❌ Problem 3: Some emails yes, others no

Possible causes:

  • Filters active: Settings → Email → Filters → Disable all
  • Folders excluded: Check if all folders are enabled (Inbox, Sent, etc.)
  • Size limit: Emails > 20MB are skipped
  • Spam folder: Spam emails are niet synchronized (intentional)

Gmail-Specific Problems

❌ Problem: "Less secure apps blocked" error

This is OLD Gmail - niet relevant since 2022

Tesoro uses OAuth 2.0 (modern, secure). If you see this error:

  1. Disconnect old connection
  2. Connect again (OAuth flow)
  3. Allow all permissions

❌ Problem: Gmail rate limit exceeded

Symptoms: Sync works, but emails come in slowly

Cause: Gmail API limits (max 250 quota units/user/second)

Solution:

  • Wait 1-2 hours, sync resumes automatically
  • For large mailbox: Sync in batches (first 30 days, then 90, etc.)
  • This is temporary - Gmail increases limits over time

❌ Problem: Labels disappear or are incorrect

Solution:

  1. Settings → Email → Gmail Labels
  2. Click Refresh Labels
  3. Map Gmail labels to Tesoro categories
  4. Resync emails

Outlook-Specific Problems

❌ Problem: Outlook sync failed after password change

Solution:

  1. Settings → Email → Disconnect Outlook
  2. Reconnect with new credentials
  3. Re-authorize permissions

❌ Problem: Office 365 admin blocked app

Symptoms: Error "Admin consent required"

Cause: Your company has blocked third-party apps

Solution:

  1. Contact your IT admin
  2. Ask to add Tesoro CRM to approved apps
  3. Give this info to IT:
    • App name: Tesoro CRM
    • Required permissions: Mail.Read, Mail.Send, offline_access
    • Vendor: Tesoro (tesorohq.io)

❌ Problem: Shared mailbox niet synchronized

Solution:

  1. Settings → Email → Outlook Settings
  2. Enable "Sync Shared Mailboxes"
  3. Select which shared mailboxes
  4. Click Resync
