Why Use Tags?

Tags are flexible labels you can assign to contacts for quick organization and filtering. Unlike fixed fields like 'Status' or 'Role', you can create your own categories with tags.

Benefits of Tags

  • Flexible categorization: Create your own organization system
  • Multiple tags per contact: A contact can be 'VIP', 'Hot Lead' AND 'Luxury Buyer'
  • Quick filtering: Click on a tag to see all contacts with that tag
  • Bulk operations: Perform actions on all contacts with a specific tag
  • Visual organization: Tags have colors for quick recognition

Tag vs Status vs Custom Field

  • Status: Fixed choices (Active, Inactive, Won, Lost)
  • Custom Field: Structured data with fixed types
  • Tags: Free labels, multiple possible, easy to change

Adding Tags to Contacts

Method 1: Directly in Contact Form

  1. Open a contact (or create a new contact)
  2. Scroll to the Tags field
  3. Start typing - you'll see suggestions of existing tags
  4. Choose an existing tag OR press Enter to create a new tag
  5. Add multiple tags by continuing to type
  6. Click Save

Tip: Tags are automatically saved in the system as soon as you create them.

Method 2: Bulk Add Tags

Add the same tag to multiple contacts at once:

  1. Go to the Contacts list
  2. Select multiple contacts (checkboxes)
  3. Click Bulk Actions
  4. Choose Add Tags
  5. Type the tag name
  6. Click Apply

All selected contacts will now have this tag assigned.

Method 3: Manage Tags in Settings

Create and manage tags centrally:

  1. Go to Settings (gear icon)
  2. Choose Tags
  3. Click + Create Tag
  4. Fill in: Tag name, color, description
  5. Click Save

  1. Click on tag badge: In the contacts list, click on a tag to see all contacts with that tag
  2. Use advanced filters: Go to Contacts > Filters > Tags and select one or multiple tags
  3. Combine filters: Use tags in combination with status, location, or other filters

Saved Views with Tags

Create saved views for frequently used tag combinations:

  • 'Hot Leads VIP' (tags: Hot Lead + VIP Client)
  • 'Luxury Beach Buyers' (tags: Luxury Buyer + Beach Property)
  • 'Follow-up This Week' (tags: Needs Follow-up)

Saved views appear in the quick menu for instant access.
