Setting Up Email Integration Gmail and Outlook

Connect your Gmail or Outlook account to Tesoro via secure OAuth authentication.

What is OAuth authentication?

OAuth is a secure authentication method where you give Tesoro permission to read and send emails without sharing your password.

Why Use OAuth?

  • More secure: No passwords stored in Tesoro
  • Granular control: Determine which permissions Tesoro gets
  • Easy to revoke: Remove connection whenever you want
  • Two-factor compatible: Works with 2FA/MFA
  • Enterprise ready: Works with Google Workspace and Microsoft 365

What Can Tesoro Do?

With OAuth permission, Tesoro can:

  • Read emails: Link incoming messages to contacts
  • Send emails: Send from CRM via your account
  • Email history: Sync with CRM

Tesoro CANniet:

  • See or store your password
  • Delete emails without your action
  • Change account settings

Setting up Gmail integration

Step 1: Start Gmail Connection

  1. Log in to Tesoro CRM
  2. Go to Settings > Integrations > Email Accounts
  3. Click + Connect Gmail button
  4. You'll be redirected to Google login screen

Step 2: Select Google Account

  1. Select the Gmail account you want to connect
  2. Or click "Use aniether account" to log in
  3. Enter your Google password (if asked)
  4. Enter 2FA code if you have this enabled

Step 3: Grant Permission

Google asks permission for:

  • View email messages: Read incoming emails
  • Send email on your behalf: Send emails
  • Manage email drafts: Save drafts

Click "Allow" to continue.

Step 4: Verify Connection

  1. You'll be redirected back to Tesoro
  2. Tesoro tests the connection automatically
  3. Green checkmark = connection successful
  4. Your Gmail is now integrated

Step 5: Configure Email Settings

Personalize your email settings:

  • Signature: Automatic signature
  • Default subject: Default subject prefix
  • Auto-sync frequency: Every 1 min / 5 min / 15 min
  • Sync history: How many old emails to import

Setting up Outlook integration

Step 1: Start Outlook Connection

  1. Log in to Tesoro CRM
  2. Go to Settings > Integrations > Email Accounts
  3. Click + Connect Outlook button
  4. You'll be redirected to Microsoft login screen

Step 2: Select Microsoft Account

  1. Enter your Outlook/Microsoft email address
  2. Click Next
  3. Enter your Microsoft password
  4. Enter 2FA code if you have this enabled

Step 3: Grant Permission

Microsoft asks permission for:

  • Read your email: Read incoming emails
  • Send mail as you: Send emails
  • Maintain access to data: Continuous synchronization

Click "Accept" to continue.

Step 4: Verify Connection

  1. You'll be redirected back to Tesoro
  2. Tesoro tests the connection automatically
  3. Green checkmark = connection successful
  4. Your Outlook is now integrated

Microsoft 365 Enterprise

For business accounts:

  • You may need to request IT admin permission
  • Admin must approve Tesoro in Microsoft 365 admin center
  • After approval you can connect

For IT Admins:

  1. Go to Microsoft 365 admin center
  2. Navigate to Settings > Integrated apps
  3. Search for "Tesoro CRM" and approve
  4. Or add Tesoro via App ID: [contact support]

Troubleshooting Common Issues

Managing email connections

Check Connection Status

  1. Go to Settings > Integrations > Email Accounts
  2. See list of connected accounts
  3. Status indicators:
    • Green: Active and syncing
    • Yellow: Warning (rate limit almost reached)
    • Red: Connection broken (reauthorization needed)

Refresh Connection

If OAuth token expires:

  1. Click Re-authorize button next to account
  2. Log in again to Google/Microsoft
  3. Confirm permission
  4. Connection is restored

Remove Connection

To remove email integration:

  1. Click ... menu next to account
  2. Select Disconnect
  3. Confirm with "Yes, disconnect"
  4. Account is disconnected

Multiple Email Accounts

You can connect multiple email accounts:

  • Gmail + Outlook simultaneously possible
  • Multiple Gmail accounts (e.g., personal + work)
  • Choose which account to use per email
  • Set default account in Settings

Yes, OAuth is significantly more secure because your password is never shared. If your account is compromised, you can revoke OAuth access without changing your password.

With OAuth, the connection continues to work. OAuth tokens are independent of your password. With SMTP/IMAP you do need to update your password in Tesoro.
