Creating Deals and Linking Contacts and Properties

Step-by-step guide to creating new deals, linking contacts and properties, and configuring deal parameters for optimal tracking.

Creating a new deal in Tesoro CRM is the starting point of your sales journey. This process connects a qualified contact to relevant properties and initializes tracking of all sales activities.

This guide shows you how to effectively create new deals with the right contacts, properties, and configuration for maximum conversion chances.

Deal Creation Workflow

1. Navigate to Deals Section

Open the main menu and select Deals. You'll see the deal pipeline overview with all active deals.

Click on the + New Deal button in the top right to open the deal creation form.

2. Select Primary Contact

Select the primary contact for this deal. This is usually the buyer or seller you're directly communicating with.

Search contact:

  • Type name or email in search field
  • System shows matching contacts from your database
  • Select the correct contact
  • System auto-populates contact details and preferences

Contact qualification check: Ensure contact has at minimum:

  • Name and email (required)
  • Phone number (recommended)
  • Property preferences (type, budget, location)
  • Timeline information

3. Configure Deal Parameters

Fill in the basic deal information:

  • Deal name: Descriptive name (e.g., 'Villa purchase - John Smith')
  • Deal type: Sale, Rent, Lease, or Commercial
  • Contact type: Buyer, Seller, Investor, Developer, Landlord
  • Deal value: Expected transaction value (optional)
  • Commission %: Your commission percentage (optional)
  • Closing date: Expected closing date (optional but recommended)
  • Owner: Primary agent responsible for this deal
  • Status: Initial status (usually 'Lead' or 'Qualified')

Tip: Fill in at least deal name, type, and owner. Other fields can be updated later.

4. Use AI Property Suggestions

After selecting the contact, the system automatically activates the AI property matching engine.

Viewing AI suggesties:

  • Click on Suggest Properties tab/button
  • System analyzes contact preferences and available inventory
  • AI shows ranked list of matching properties with match score
  • Review property details, images, and specifications

Match criteria:

  • Price range (buyer budget vs property price)
  • Location (preferred areas vs property location)
  • Property type (preferences vs actual type)
  • Size requirements (bedrooms, bathrooms, m²)
  • Features (pool, garage, garden, etc.)
  • Availability (timeline match)

Tip: Select at least 3-5 properties to give buyer options.

5. Add Properties Manually

In addition to AI suggesties, you can also manually add properties:

Manual property selection:

  • Click on Add Property button
  • Use search field to find properties (name, reference, location)
  • Filter properties with advanced filters (type, price, location)
  • Select property and add to deal

Property offer status: When adding, you can set per property:

  • Interested: Property is interesting for buyer
  • Offered: You've officially offered property to buyer
  • Accepted: Buyer has confirmed interest
  • Rejected: Buyer has declined property (with reason)
  • Viewing scheduled: Viewing appointment is set

6. Add Additional Contacts

Deals can have multiple participants besides the primary contact:

Adding participants:

  • Click on Add Contact in contacts section
  • Search and select additional contact
  • Assign role: Co-buyer, Legal advisor, Bank representative, etc.
  • Set nietification preferences for this contact

Common additional contacts:

  • Co-buyer: Partner or family member in purchase
  • Seller representative: In negotiation
  • Legal advisor: Lawyer handling paperwork
  • Bank representative: Mortgage officer
  • nietary: For contract signing

7. Save and Activate Deal

Review all information and save the deal:

Pre-save checklist:

  • Primary contact selected
  • Deal name and type filled in
  • Owner assigned
  • At least 1 property linked (optional but recommended)
  • Initial status set

Click Create Deal to activate deal. The system:

  • Creates deal in pipeline with specified status
  • Links all selected properties and contacts
  • Initializes activity tracking
  • Sends nietifications to assigned owner
  • Shows deal in Kanban board and list views

Post-creation: You can immediately start:

  • Adding notes and comments
  • Scheduling viewings
  • Creating tasks
  • Sending emails via integrated inbox
