First Steps Checklist What to Do After Signup

Follow this step-by-step checklist to optimally set up your Tesoro CRM and be productive within 30 minutes.

You've created your account - great! But where do you start now? This checklist guides you through the key steps to prepare Tesoro for daily use. Follow the items in order for the best result.

Estimated time: 30-45 minutes (depending on how much data you import)

Your Setup Checklist

1. Complete Your Profile (5 Min)

Why this matters: Your profile is what clients see in emails, the portal, and communication.

What to do:

  • Upload a professional profile photo
  • Fill in your phone number
  • Set up your email signature
  • Choose your language and timezone preference
  • Configure basic nietifications

How: Click your photo top right → Settings → Personal Info

2. Add Your First Contacts (10 Min)

Why this matters: Contacts are the foundation of everything. Without contacts you can't make deals.

Choices:

  • Manually add - Click + Contact, fill in details (start with 3-5 important contacts)
  • CSV import - Upload your existing database (Settings → Import → Contacts)
  • Sync from email - Import from Gmail/Outlook address book

Minimum required per contact:

  • Name (first and last name)
  • Email or phone number
  • Type (Buyer/Seller/Investor/etc.)

Tip: Start small! First add your active clients, import the rest later.

3. Add Properties (10 Min)

Why this matters: Properties are what you sell/rent. Without inventory you can't do matching.

Options:

  • Manually add - Click + Property, fill in basic info (start with 2-3 listings)
  • MLS sync - Connect Idealista, Fotocasa feeds (Settings → Integrations → MLS)
  • CSV import - Bulk upload your inventory

Minimum required per property:

  • Address (street, city, postal code)
  • Type (Apartment, Villa, Townhouse, etc.)
  • Price
  • Status (For Sale, For Rent, Sold, etc.)
  • At least 1 photo

Pro tip: MLS sync is the fastest way. Within minutes you have hundreds of properties imported.

4. Create Your First Deal (5 Min)

Why this matters: Deals track your sales pipeline. This is where you make money.

How to create a deal:

  1. Click + Deal (or go to Deals module, click + New Deal)
  2. Link a contact (the buyer/renter)
  3. Fill in deal name (e.g. "Jim Hendricks - Apartment Search")
  4. Choose deal stage (e.g. "First Contact" or "Needs Analysis")
  5. Fill in expected deal value (estimated transaction value)
  6. Optional: Link property if you already know which one

Tip: Start with one active deal you already have in mind. You can add more later.

5. Test AI Property Matching (5 Min)

Why this matters: AI matching is Tesoro's killer feature. Let the system automatically find the best properties for your deals.

How to test:

  1. Open your deal you just created
  2. Click the Properties tab
  3. Click AI Match Properties
  4. The system scans your inventory and shows top matches
  5. View the match percentage and reason
  6. Select properties to add to the deal

What AI matching checks:

  • Price range of contact vs property prices
  • Property type preferences (apartment, villa, etc.)
  • Location preferences (city, neighborhood, postal code)
  • Number of bedrooms, bathrooms
  • Special features (garden, terrace, parking, etc.)

Tip: The more detail you have in the contact profile, the better the matches!

6. Connect Your Email (Optional, 5 Min)

Why this matters: Email integration means you have all client communication in Tesoro, niet spread across apps.

Supported email providers:

  • Gmail (Google Workspace)
  • Outlook / Office 365
  • IMAP (other providers)

How to connect:

  1. Go to Settings → Integrations → Email
  2. Choose your provider (Gmail/Outlook/IMAP)
  3. Click Connect and authorize Tesoro
  4. Emails are automatically synchronized

What you get:

  • Send emails from Tesoro (automatically logged)
  • Receive emails in contact/deal timeline
  • Email templates for quick communication
  • Track opens and clicks

Secure connection: Tesoro uses OAuth2 - we never see your password. You can always revoke access.

7. Explore the Dashboard (5 Min)

Why this matters: The dashboard is your daily starting point. Learn what you can see there.

What to do:

  • View your KPIs (deals, leads, avg value, time on market)
  • Check the date filter (try "This Month" vs "All Time")
  • Click on a KPI card to go to the module
  • View Recent Activity - do you see your added contacts?
  • Check Alerts - are there things needing attention?

Dashboard tips:

  • Make the dashboard your morning ritual - check it elke ochtend
  • Pay attention to trends (green/red percentages), niet absolute numbers
  • Use date filters to compare different periods
