Quick Start Guide 15 Minutes to Your First Deal

A practical hands-on tutorial that guides you through the complete workflow in 15 minutes: from contact to closed deal.

Want to learn Tesoro by using it? This guide takes you through a complete workflow: we'll add a buyer contact, capture their preferences, find matching properties with AI, and move the deal through the pipeline.

What you'll learn:

Time: 15 minutes
What you need: Your Tesoro account + at least 2-3 properties in your system

Step 1: Create Contact

Scenario: New Buyer Comes In

The situation: You receive an email from Sarah Johnson. She's looking for a 2-bedroom apartment in Barcelona, budget €300K, wants close to metro station.

Step 1: Create the contact

  1. Click top right on + Contact
  2. Fill in:
    • First Name: Sarah
    • Last Name: Johnson
    • Email: [email protected]
    • Phone: +34 612 345 678
    • Type: Buyer
  3. Click Save

Result: Sarah is now in your database. Time to start a deal!

Steps 2-3: Deal and Preferences

Create Deal and Capture Preferences

Step 2: Start the deal

  1. Click in Sarah's contact page on Create Deal (or + Deal top right)
  2. Fill in:
    • Deal Name: "Sarah Johnson - Barcelona Apartment"
    • Stage: "First Contact" (first phase)
    • Expected Value: €300,000
    • Expected Close Date: In 2 months
  3. Click Save & Continue

Step 3: Capture property requirements

In the deal detail screen, go to Requirements tab:

  • Property Type: Apartment
  • Bedrooms: 2
  • Bathrooms: 1-2
  • Budget Min: €250K
  • Budget Max: €350K
  • Location: Barcelona (add specific neighborhoods if you know)
  • Must-haves: Near metro, Modern kitchen

Click Save Requirements

Steps 4-5: AI Property Matching

AI Matching: Find Perfect Properties

Step 4: Let AI do the work

  1. In the deal detail, go to Properties tab
  2. Click the big blue button: AI Match Properties
  3. Wait 2-3 seconds while AI scans your inventory

What you see:

A list of matching properties, sorted by match percentage:

  • 92% match - 2bed apartment, €295K, Eixample, 50m from metro
  • 87% match - 2bed apartment, €320K, Gracia, near metro
  • 81% match - 2bed apartment, €285K, Poblenou, renovated

Step 5: Select top candidates

  1. Click checkbox on the top 3-5 properties
  2. Click Add Selected to Deal
  3. Properties are added to the deal

Pro tip: Click on a property to see details before adding. Check photos, floor plans, description.

Step 6: Email to Client

  1. With 3-5 properties selected, click Send to Client
  2. Choose email template: "Property Selection"
  3. Preview the email - see how properties look beautiful with photos and details
  4. Adjust the message (optional): "Hi Sarah, based on your requirements, here are my top picks..."
  5. Click Send Email

What Sarah receives:

  • Professional email with your branding
  • Beautiful property cards with photos
  • Key details (price, bedrooms, location)
  • Link to Client Portal for more info
  • Call-to-action: "Schedule a viewing"

Email tracking: You automatically see when Sarah opens the email and which properties she clicks!

Steps 7-8: Kanban Pipeline Management

Move Deal Through Pipeline

Step 7: Track progress with Kanban

  1. Go to Deals in the sidebar
  2. You see the Kanban board with all deal stages
  3. Find Sarah's deal in the "First Contact" column

Step 8: Move to next stage

When Sarah responds "I love #2! Can we schedule viewing?", time to move the deal:

  1. Drag Sarah's deal card from "First Contact" to "Viewing Scheduled"
  2. A modal opens: fill in viewing date/time
  3. Add a niete: "Sarah interested in Gracia apartment"
  4. Click Save & Move

What happens automatically:

  • Deal stage update is logged in timeline
  • Viewing is added to your Calendar
  • Sarah automatically gets viewing confirmation email
  • Your dashboard metrics update real-time

Step 9: Close the Deal

Close the Deal!

Fast forward: After viewing and negotiation...

Sarah decides to buy the Gracia apartment for €315K. Time to close!

Step 9: Mark deal as Won

  1. Open Sarah's deal
  2. Update stage to "Negotiation" → "Contract Sent" → "Signed"
  3. In the "Signed" stage, click Mark as Won
  4. Fill in:
    • Final Price: €315,000
    • Close Date: Today
    • Commission: Automatically calculated
  5. Click Close Deal

Congratulations! You've closed your first deal in Tesoro.

What happens now:

  • Deal disappears from Kanban board (now in "Won" archive)
  • Property status updates to "Sold"
  • Dashboard metrics show +1 deal, +€315K revenue
  • Sarah automatically gets "Thank you" email
  • You can request a review (Settings → Automations)

Frequently Asked Questions

chevron_right Should I do this tutorial with real data?
You can practice with test data first if you want, but we recommend doing it with real data directly. This way you immediately build your database while learning. You can always delete test contacts/deals later.
chevron_right What if AI matching doesn't give good results?
AI matching works better as you have more detail in contact requirements AND property data. Fill in at least price range, bedrooms, location and type. If results still aren't good, you can always manually add properties.
