What is email tracking?

Email tracking in Tesoro CRM gives you insight into how recipients interact with your emails. You see when emails are opened, which links are clicked and how engaged customers are.

What Is Tracked?

  • Opens: When email is opened
  • Clicks: Which links are clicked
  • Replies: If recipient responds
  • Forwards: If email is forwarded
  • Device type: Desktop, mobile, tablet
  • Location: Geographic location (optional)

Why Use Email Tracking?

  • Know when to follow up: See when customer reads email
  • Optimize timing: Discover best send times
  • Improve content: Learn which topics work
  • Measure engagement: Which leads are active?
  • A/B testing: Test different approaches

Viewing email metrics

Per Email Tracking

For each sent email you see:

  1. Open contact or go to Communication Center
  2. Select a sent email
  3. Email detail panel shows:
    • Sent: Date and time sent
    • Opened: First open + number of times opened
    • Clicked: Which links + how many times
    • Replied: If recipient has responded
    • Device: On what email was opened

Open nietification

Real-time nietifications:

  • Desktop nietification when email is opened
  • Badge next to contact name
  • "Just opened" indicator in inbox

Click Tracking Details

For each link in your email:

  • Number of clicks per link
  • Timestamp of each click
  • Device clicked on
  • Multiple clicks by same recipient

Chronological view:

  • 09:00 - Email sent
  • 09:15 - First opened (iPhone)
  • 09:17 - Link "Property Details" clicked
  • 14:30 - Email reopened (Desktop)
  • 14:32 - Link "Book Viewing" clicked

Email analytics dashboard

Access to Analytics

  1. Go to Reports > Email Analytics
  2. Choose time period (last 7/30/90 days, custom)
  3. Filter by:
    • Template type
    • Recipient segment
    • Deal stage
    • Agent

Key Metrics

Dashboard shows:

  • Emails Sent: Total number sent
  • Open Rate: % opened (average ~25-30%)
  • Click Rate: % clicked (average ~3-5%)
  • Reply Rate: % replied

Email Tracking and GDPR

Tesoro email tracking is GDPR-compliant:

  • Transparency: Recipients can see tracking in email footer
  • Opt-out possible: Customers can disable tracking
  • Data minimization: Only necessary data is collected
  • Retention period: Tracking data is deleted after 12 months

Disable Tracking

For specific emails you can disable tracking:

  1. At email compose, click Tracking Settings
  2. Disable:
    • Open tracking
    • Click tracking
    • Location tracking
  3. Email is sent without tracking

Tracking Pixel

How does open tracking work?

  • Small invisible image in email
  • When email is opened, pixel is loaded
  • Server registers open event
  • Pixel is 1x1 px and invisible to recipient

Tracking Limitations

  • Email clients block: Some clients block tracking pixels (e.g., Apple Mail with privacy protection)
  • Images disabled: If recipient has images disabled, no tracking
  • Plain text emails: Tracking doesn't work in plain text
  • Forwards: When forwarding to others, no separate tracking

Some email clients like Apple Mail block tracking pixels. Also if recipients have images disabled, open tracking doesn't work. Click tracking still works though.

Yes, each time the email is opened counts as a separate open. You'll see 'Opened 3 times' for very interested leads. This is valuable engagement data.
